New Features
Improved Reservation Tax Calculation & Tax Configuration
This release improves how taxes are managed for reservations by ensuring tax calculations use the correct financial configuration and by introducing support for Tax Inclusive and Tax Exclusive pricing.
Past State
Previously, reservation taxes were calculated using the property's default tax configuration, which could result in incorrect tax amounts. Reservation settings also did not support choosing whether pricing was tax inclusive or tax exclusive, and tax information was not consistently displayed throughout the reservation process.
What's New
- Reservation taxes are now calculated using the tax configuration from the financial account associated with the reservation.
- Reservation settings now allow administrators to configure pricing as Tax Inclusive or Tax Exclusive.
- Reservation pages now clearly display applicable taxes based on the selected configuration.
How It Works
When creating or managing reservation settings, administrators can specify whether reservation pricing includes taxes or if taxes should be added separately. During reservation creation and billing, the system automatically applies the tax configuration associated with the reservation's financial account, ensuring taxes are calculated and displayed accurately.

Improvements
Rental Lead Audit History
Overview
This release introduces Rental Lead Audit History, designed to provide a complete audit trail for rental leads at both the Property and Company levels.
Past State
Previously, changes made to rental leads were not fully tracked. Administrators could not easily identify who created a rental lead, who modified it, which fields were changed, or how rental leads were linked to leases and rental inquiries over time.
What’s New
With this release, a comprehensive audit history is now available for rental leads.
The system now records:
- Who created the rental lead
- Who modified the rental lead
- Which fields were modified
- The previous and updated values for all tracked fields
- Changes to links between rental leads and leases
- Changes to links between rental leads and rental inquiries
How It Works
Every time a rental lead is created, updated, or its relationships are modified, the system automatically generates an audit entry. The audit mechanism follows the same audit model already used by other audited entities, such as Budget.cs.
Audit records are stored automatically and can be reviewed to understand the complete history of a rental lead and its related associations.

New Features
Calendar Redesign
This release introduces a redesigned Calendar experience, designed to improve navigation, reservation management, calendar integrations, and overall usability across desktop and mobile devices.
Past State
Previously, users had limited navigation options, reservation actions were distributed across multiple areas, and viewing multiple reservations on the same date could be challenging. Calendar integrations with Outlook and Google were displayed in a list format, and the overall calendar experience was less intuitive.
What's New
With this release, the calendar has been redesigned with:
- Improved navigation behavior aligned with Microsoft Outlook standards.
- Enhanced responsive layout for different screen sizes.
- A centralized Action menu for reservation-related tasks.
- Outlook and Google Calendar integrations displayed as tiles instead of lists.
- Expandable views for dates containing multiple reservations.
- Reservation names displayed alongside calendar views.
- Improved reservation interactions, including hover and detailed views.
- A refreshed Agenda view.
- An enhanced Legend displaying reservation colors, icons, and names.
How It Works
Users can navigate through Day, Week, Month, and Agenda views using the calendar controls. Selecting a date from the mini-calendar updates the main calendar according to the active view mode. The new Action button provides quick access to reservation creation, calendar integrations, and printing options. Reservations can be expanded, hovered over for quick details, or opened for complete information.

Maintenance Log – Calendar Integration
This release introduces Maintenance Log Calendar Integration, designed to ensure that maintenance tasks created in the new Maintenance Log module are displayed in the Calendar.
Past State
Previously, tasks created in the new Maintenance Log did not appear in the Calendar. Users could only view maintenance tasks in the Calendar when they were created through the legacy Maintenance Log module.
What’s New
With this release, all tasks created from the new Maintenance Log are automatically displayed in the Calendar, providing the same behavior and visibility as the legacy module.
How It Works
When a maintenance task is created in the new Maintenance Log, the system automatically synchronizes the task with the Calendar. Scheduled and recurring maintenance tasks will now appear in the Calendar view and update according to their configured schedule.

New Features
Lease Occupancy Date Management Improvements
Overview
This release introduces a major improvement to lease management by separating lease term dates from occupancy dates. This ensures that lease end dates remain accurate while occupancy changes are managed using arrival and departure dates.
Past State
Previously, ending a lease early (for example, due to an early departure, lease assignment, or rejected renewal) automatically modified the lease end date. This could lead to inaccurate historical data, reporting inconsistencies, and issues when managing lease statuses or creating subsequent leases.
What's New
With this release:
- Lease end dates remain unchanged except when a lease is officially renewed.
- Early departures, lease assignments, and rejected renewals now update the tenant's departure date instead of modifying the lease end date.
- Lease status (Active, Completed, etc.) is now determined using occupancy dates (arrival and departure dates).
- Overlapping lease terms are now allowed for the same unit, provided the occupancy periods do not overlap.
- Vacant leases are automatically created starting the day after the tenant's departure date.
- Conflict detection when creating new leases now validates occupancy periods instead of lease term dates.
- Several reports and pages have been updated to use occupancy dates for improved accuracy.
- Lease and unit lists have been visually enhanced to display occupancy dates.
How It Works
When a tenant leaves a unit before the contractual lease end date:
- The lease end date remains unchanged.
- The tenant's departure date records when they actually vacated the unit.
- Any new lease or vacant lease is created based on the departure date.
- The system uses arrival and departure dates to determine lease status and validate occupancy conflicts.
- Reports and dashboards now reflect the actual occupancy period while preserving the original lease contract information.

Persistent Filters in Document Reception
This release introduces Persistent Filters for Document Reception, designed to improve efficiency by keeping users' filter selections saved and readily available when navigating throughout the application.
Past State
Previously, filter selections in Document Reception were reset when users refreshed the page, navigated away, or returned to the module. Users had to repeatedly re-enter the same filter criteria, resulting in additional time and effort when processing documents.
What’s New
With this release, the Document Reception filter panel is now always expanded and users' most recent filter selections are automatically saved and restored.
Filter preferences are stored individually for each user and company, ensuring that users only see their own saved filters and that filter settings do not carry over between companies.
How It Works
When a user applies filters in Document Reception, the system automatically remembers the selected values.
- The filter panel remains expanded by default.
- Filter selections are restored after page refreshes.
- Filter selections are restored when navigating away and returning to the page.
- Cleared filters remain cleared after refresh.
- Individual filter changes are preserved without affecting other active filters.
- Saved filters are unique to each user and company.

To access it:

- Apply the desired filter criteria.
- Continue working within the application—the filters will automatically be restored when you return.

Improvements
Scheduled Message Delivery Time
This release introduces configurable delivery times for scheduled message reminders, designed to prevent reminders from being sent at inconvenient hours.
Past State
Previously, scheduled message reminders were automatically sent at 3:00 AM, which resulted in complaints from residents. Administrators had no control over the delivery time.
What's New
With this release, scheduled message reminders are now sent at a more appropriate default time (7:00 AM), improving the experience for residents.
How It Works
When scheduling a message reminder, the system will automatically send it at 7:00 AM on the selected date instead of 3:00 AM.

To access it:
- Go to Communications.
- Create or edit a scheduled message.
- Schedule the reminder as usual.
Benefits
- Prevents residents from receiving notifications during the night.

New Features
Rental Inquiry Approval Status & Zapier Notifications
Overview
This release introduces Rental Inquiry Approval Management, allowing authorized users to approve or reject completed rental inquiries while automatically notifying external systems through Zapier whenever the approval status changes.
Past State
Previously, completed rental inquiries could not be formally approved or rejected within UpperBee. There was also no automated way to notify external systems when the status of a rental inquiry changed.
What’s New
With this release, authorized users can now approve or reject completed rental inquiries directly from the Rental Inquiry detail page.
The system records the approval status, the user who performed the action, the approval date, and the rejection reason when applicable. Approval information is also displayed in the Rental Inquiry list and timeline for improved visibility.
Additionally, organizations using Zapier integrations can now automatically receive notifications whenever a rental inquiry is
Approved, Rejected, or Cancelled, allowing external workflows to stay synchronized with UpperBee.
How It Works
Once a rental inquiry has been completed, users with the appropriate permissions can choose to Approve or Reject it from the Rental Inquiry detail page.
- Selecting Approve requires confirmation before the status is updated.
- Selecting Reject prompts the user to enter a mandatory rejection reason.
- The approval activity is automatically added to the inquiry timeline, including:
- Approval status
- Date of the action
- User who performed the action
- Rejection reason (when applicable)
An Approval Status column has also been added to the Rental Inquiry list, making it easy to identify approved and rejected inquiries at a glance.
For organizations using Zapier, any approval status change (Approved, Rejected, or Cancelled) is automatically sent to subscribed workflows.

Electronic Lease Sent for Signature Trigger (Zapier)
Overview
This release introduces a new Zapier trigger for electronic leases sent for signature, designed to automatically notify external automation workflows when an electronic lease linked to a rental lead is sent for electronic signature.
Past State
Previously, there was no dedicated automation trigger for this step of the electronic lease process. External systems could not automatically react when a lease was sent for signature, requiring additional manual tracking or custom integration logic.
What’s New
With this release, a new trigger named External Rental Lead's Lease Sent For Signature Trigger has been added to the Zapier integration.
When an electronic lease associated with a rental lead containing an External ID is successfully sent for electronic signature, UpperBee now sends the event data to Zapier automatically.
The trigger includes:
- Rental lead external ID
- Status: SentForSignature
- Lease information (same structure as other lease-related triggers)
How It Works
- A rental lead must contain an External ID.
- An electronic lease is created and sent for electronic signature.
- After the signature request is successfully submitted, UpperBee publishes the event through the external automation service.
- Zapier receives the event and can trigger automated workflows based on the lease being sent for signature.

Previously, Zapier integrations could receive updates for rental lead and lease status changes, but there was no dedicated trigger for lease cancellations. External systems could not automatically react when a lease linked to a rental lead with an external ID was cancelled.
What’s New
With this release, a new Zapier trigger has been added to receive lease cancellation events for rental leads that contain an external ID.
The new trigger:
- Subscribes at the company level.
- Sends lease data when the lease is cancelled.
- Includes the lease status Cancelled in the payload.
- Uses the same subscription and deletion workflow as existing external automation triggers.
How It Works
- A lease associated with a rental lead containing an external ID is cancelled.
- The cancellation event is triggered through TenancyService.Cancel().
- The event is published through the communication bus.
- The external automation handler sends the lease data to Zapier.
- Any subscribed Zap receives the lease information with the status Cancelled.

Previously, there was no dedicated automation trigger for lease assignment events. External systems could not automatically react when a lease was transferred to a new tenant, requiring manual tracking or custom integration logic.
What’s New
With this release, a new trigger named External Rental Lead's Lease Assigned To New Tenant Trigger has been added to the Zapier integration.
When a lease associated with a rental lead containing an External ID is assigned to another tenant and the first step of the new lease is saved, UpperBee automatically sends the event data to Zapier.
The trigger includes:
- Rental lead external ID
- Information about the previous lease
- Information about the new lease
How It Works
- A rental lead must contain an External ID.
- A lease assignment process is initiated for another tenant.
- The new lease is created using the assignment information from the previous lease.
- When the first step of the new lease is successfully saved, UpperBee publishes the event through the external automation service.
- Zapier receives the event and can trigger automated workflows based on the lease assignment.
