Introduction
To strengthen the security surrounding banking information updates related to the UpperBee Pay service, the authorization and submission process has been updated.
Understanding the new process
Preparing the request
Administrative staff prepare the request by entering the new banking information, attaching the required documents, and completing the necessary verifications. Once the request is ready, administrative staff must notify the Primary Authorized Account Holder.
Authorization and submission
The Primary Authorized Account Holder reviews the prepared request, confirms authorization, and completes the final submission using their own user account.
| Role | Responsibilities |
| Administrative Staff | Prepare the request, enter the required information, upload the necessary documents, complete the required verifications, and notify the account holder. Cannot complete the final submission. |
| Primary Authorized Account Holder | Reviews the request, confirms their authorization, and completes the final submission using their own user account. |
| UpperBee Pay | Associates the Primary Authorized Account Holder with the designated user account and applies the permissions required for submission. |

Example: The Primary Authorized Account Holder’s information must match
the information associated with the linked user account.

SECURITY REMINDER
Always use your own user account and never share your login credentials.
Never share sensitive banking information through channels that are not intended for this type of information.
Special situations
The Submit button is not available
If you are using an administrative account, you will not be able to complete the final submission. Final submission is reserved for the Primary Authorized Account Holder.
The Primary Authorized Account Holder cannot submit the request
Verify that they are using their own user account, that the account is active, and that it is properly associated with UpperBee Pay.
The Primary Authorized Account Holder is no longer the appropriate person
The authorized account holder and their associated user account must be updated before proceeding. A shared account must not be used to bypass this authorization requirement.
The request is urgent
Prepare the request as soon as possible and make sure the Primary Authorized Account Holder is available. The account holder’s absence does not automatically transfer submission rights to administrative staff.
Key takeaways
Preparing the request can be delegated.
Authorization and final submission are reserved for the Primary Authorized Account Holder and must be completed using their own user account associated with UpperBee Pay.
